This classified position is expected to be of limited duration due to the funding of the position and is designated as a limited-service position.PositionThe Idaho Department of Environmental Quality (DEQ) is hiring an Office Specialist 2 for Drinking Water Protection and Finance for the State Office in Boise.
Salary Range: $17.45-$19.29
Responsibilities
- American Rescue Plan Act (ARPA) funding assistance:
- Gather ARPA reporting information, mail out ARPA documents, process ARPA offers, and edit online ARPA training materials.
- Take meeting notes on handbook changes, database development, ARPA developments, and monthly grant and loan meetings.
- File grant and loan data (including ARPA documents) in the agency’s loan and grant tracking system following DEQ protocols. Conduct quality assurance and quality control on data entered into the tracking system.
- Office support:
- Format letters of interest, rating forms, grant and loan offers, and templates to ensure continuity, Single Audit Act requirements, new rule changes, grammar, and organization standards are met.
- Ensure forms are working for grant and loan recipients including ease of use, electronic signatures, and fillable forms.
- Participate in staff training, program development, and annual audits as requested.
- Grants and Loans Bureau Assistance:
- Ensure loan payments are being made on time, assist with letters of interest reviews, and attend pre-application meetings.
- Oversee the Grants and Loans Bureau email and follow up on invoices, reimbursem*nt requests, and for successful documentation.
- Draft, review, format, organize, and secure the external and internal grants and loans handbooks. Ensure the Grants and Loans Bureau website is user-friendly and contains all current links and necessary data on State Revolving Fund grant requirements.
Minimum QualificationsMinimum Qualifications:
- Good knowledge of rules of effective business English usage, spelling, punctuation, and grammar. Typically gained by successful completion of a high school or college English course OR at least six (6) months of work experience using the rules of effective business English, OR successful completion of a nine (9) month to one (1) year office administration course beyond high school.
- Experience using alphabetical, numerical, or subject filing systems to include determining file names, setting up new files, classifying, labeling, filing, and retrieving. Typically gained by successful completion of an office administration course/training which included hands-on experience using and maintaining filing systems, OR at least six (6) months of work experience using and maintaining filing systems.
- Experience reviewing documents for compliance with established procedures. Typically gained by at least six (6) months of work experience where you were responsible for reviewing documents to ensure forms were properly completed and compliant OR successful completion of a nine (9) month to one (1) year office administration course beyond high school.
- Experience using a computer to enter and retrieve information. Typically gained by at least six (6) months of experience using a computer to enter and retrieve information in a professional setting.
- Experience answering a business telephone using knowledge of business telephone procedures and etiquette. Typically gained by at least six (6) months of work experience answering a telephone in a professional capacity, using proper business telephone procedures and etiquette.
Physical Requirements
- Ability to sit and work on a computer for 2-4 hours at a time.
- Ability to bend and reach for filing purposes.
- Some periods of heavy reading and typing are required.
- Ability to lift 30 pounds when working with file boxes.
- Some travel may be required.
